Board Workshops (Closed Sessions)

The WAHC Board begins planning for the 2023-24 Season in Jan/Feb 2023 and finalizes planning in a series of work-sessions held May 2023 thru Aug 2023. 

To allow for focused & directed work, these wor-k sessions are closed sessions.  We thank you for your understanding.

Tentative work session dates are set with the new Directors in the Annual Meeting of Directors (which is scheduled within 5 days f the Annual Elections) and are confirmed by calendar post. Typical works ession planning topics follow for example purposes:

Workshop1: April 

  • Fund Balance & Financial Update FYE results reviewed to inform budget
  • Projected Player & Team Counts (for tournament reg in Apr-May)
  • New season planning considerations, initial player projections and team counts, ice scheduling parameters, etc.

Workshop2:  mid-May 

  • Season Calendar Build (incling Hosted Tourneys)
  • Hockey Development Planning - Coach / Player
  • Hockey Operations - Initiatives (Coach Recruitment & Support, In-Season Player Skill / Competitive Development )

​Workshop3:  early-June

  • BlueBook & Policy Review, standards of practice (codes of conduct), Bylaw updates drafted for member approval for online Registration platform readiness
  • Preliminary Budget-Season Fee Build & Volunteer Hours approved

​Workshop4:  mid-June  (following Monthly Meeting)

  • Finalize Budget
  • FINAL Bylaw, BlueBook, Policy, Standards of Practice (Codes of Conduct) revisions presented

Workshop5: early-July

  • Fundraising, Sponsorship Update
  • Committees Confirmed and Identify Recruitment Needs (Level Directors, Goalie Dev Director & Goalie Equipment Coordinator, Team Equipment Coordinator, etc.)
  • PreSeason & InSeason Development Plans Finalized

Workshop6:  July (following Monthly Meeting)

  • Coaching Selection Process:  Top Team Coach recommendations approved (non-parent / 2nd year parent) 
  • PreSeason Plans/vendors approved
  • Tryout Plans structure/evaluators approved
  • Hockey Director Model Initiatives - finalized (Coaching Level Directors, Recruitment & Support, In-Season Player Skill / Competitive Development )

Workshop7:  August (following Monthly Meeting)

  • Final Season planning

Board Meetings

The Board of Directors meets a minimum of once a month throughout the year.  For the 2023-24 Season, the Board is scheduled to 'meet' regularly on the 3rd week of each month at MHealth Sports Center typically on Mondays beginning at 8PM.  The general membership is encouraged to attend all meetings.  Notice to the President (via email to president@woodburyhockey.com) is recommended for reserving time on the agenda if you wish to address the Board (per WAHC Blue Book pg 2)

* Note:  On occasion these meetings need to be resecheduled.  Please check this page for changes to meeting schedules due to holiday scheduling and other last minute scheduling conflicts. 

At the beginning of each meeting there is a time reserved for an "Open Forum". This is a time for members to address the board with questions, comments, concerns and feedback. Members are also welcome to attend the entire meeting. These are open meetings, but occasionally there may be a topic that needs to be "closed". The agenda for each month will be posted the week of the meeting. Minutes for each month are posted in the month following the meeting after board approval.
